Operations Specialist

The Operations Specialist plays a pivotal role in ensuring the smooth functioning of our team by handling operational tasks efficiently. This position is vital in supporting the sales team by managing operational workload, allowing them to focus on sales activities effectively. The Operations Specialist will be responsible for various tasks, including gathering documents from carriers, coordinating with carriers, scheduling appointments, and providing essential support to existing clients through email communication.
Responsibilities:
- Manage and execute day-to-day operational tasks to ensure timely completion.
- Gather necessary documents and information from carriers to facilitate smooth logistics operations.
- Coordinate with carriers to arrange shipments and deliveries according to client requirements.
- Schedule appointments for deliveries, pickups, and other logistics activities as needed.
- Ensure proper coordination between carriers, clients, and internal teams to avoid scheduling conflicts.
- Follow up with existing clients via email to provide updates on their shipments, address inquiries, and ensure client satisfaction.
- Serve as a point of contact for clients regarding operational matters, providing timely assistance and resolution to any issues that may arise.
- Assist the sales team by managing operational workload, allowing them to focus on sales activities and client acquisition.
- Collaborate closely with the sales team to understand their requirements and priorities, providing necessary support to enhance their productivity.
- Identify areas for process improvement within the operational workflow and propose solutions to streamline operations and enhance efficiency.
- Continuously monitor and evaluate operational processes to ensure adherence to quality standards and best practices.
Requirements:
- Bachelor’s degree or similar certificate in Business Administration, Operations Management, or related field preferred.
- Proven experience in operations or logistics coordination role, preferably in a fast-paced environment.
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong communication skills, both verbal and written, with the ability to interact professionally with clients and internal teams.
- Proficiency in using productivity tools such as Microsoft Office suite (Word, Excel, Outlook) and CRM software.
- Attention to detail and problem-solving abilities to address operational challenges proactively.
- Ability to work independently as well as collaboratively within a team environment.
- Flexibility to adapt to changing priorities and willingness to take on new challenges as needed.
